Security systems installer operating system

Access control, CCTV, alarms, intercoms and gates for commercial clients, with service calls, monitoring contracts, installs, handover and compliance.

  • Access control: client sites, doors and readers, controllers and their firmware, cards and fobs, access levels and schedules. Add and remove user requests processed from the client's written request, lost cards deactivated straight away with a replacement issued, door forced and door held alarms acknowledged or turned into service calls, and a monthly audit report for the client drafted for approval.
  • CCTV and recorders: camera register per site, recorder storage and retention against a target, health checks for offline cameras, recording gaps and disk failures, footage requests with an export log and chain of custody (release needs the managing director), remote viewing app setup for clients, and firmware updates booked after hours.
  • Intruder alarms: panels, zones, user codes (shown only as stored in the vault), monitoring station connection and last signal, alarm events with false-alarm follow-up drafted for the client, battery tests and annual service.

Industry example built with invented data. We build yours around the systems you already use.

How it works

The problem

A commercial security installer looks after access control, CCTV, intruder alarms, intercoms and gates for small and medium businesses, with data cabling and Wi-Fi access points as a supporting line of work. Client requests to add or remove card users arrive by email and phone, lost cards wait until someone is free, recorders quietly run out of retention or lose a disk, footage requests have no clear chain of custody, and false alarms are not followed up. Quotes are written from memory after a survey, installs close without every test recorded, codes and passwords end up in handover documents, monitoring contracts renew without a price review, and licence expiries are found when a technician is already booked on site.

What we build

An illustrative operating system for a security systems installer, with views for the managing director, office and scheduling, lead technician, technician or apprentice, and accounts.

  • Intercoms and gates: video intercoms, sliding and boom gates on service, faults to service calls, safety beam tests recorded at each service.
  • Service calls and faults: P1, P2 and P3 response targets with time left, contract clients first, assign, on site, resolve, and a call-out invoice drafted when the client is not on contract.
  • Monitoring and maintenance contracts: recurring revenue, annual service visits booked automatically, battery replacement reminders, renewals with a price review drafted for the managing director to approve.
  • Lead to cash: enquiry, site survey, survey notes, AI drafted good, better and best quote for approval, accepted, job created with van stock, cable runs and commissioning tests. On completion a draft invoice goes to the accounting system, overdue invoices get a reminder for approval, and a monitoring contract is offered.
  • Install jobs: board from scheduled through pre-wire, fit-off, commissioning and tests, handover and complete, with van stock, photos and as-built notes. A job cannot close until every commissioning test passes, every cable run passes and is labelled, and the client signs.
  • Cabling and Wi-Fi: every device and data run labelled at the patch panel and tested, results imported from the certifier, failed runs re-terminated and retested, and a certificate pack generated for the client.
  • Handover packs: device list, warranty dates, certificates and as-built notes. Codes and admin logins show only as "stored in vault" and reach the client through the vault, never in the pack.
  • Schedule: technician week with clash detection for double bookings, leave and expired security licences, rescheduling by button or drag, and client notices drafted for approval.
  • Purchasing: suggested orders from van stock shortfalls, faults and battery reminders, approval, purchase orders to Supplier A to F, goods received in full or short, supplier bill matched and drafted in accounting.
  • Staff and compliance: roster with a cover check, leave and shift swaps (bookings move with the swap), timesheets to payroll, security licences, cabling registrations, white cards and police checks with expiry alerts, and a new-starter checklist.
  • Referral partners: jobs needing network, Wi-Fi or Microsoft 365 work referred to an IT partner, and partner referrals turned into enquiries.
  • Follow it end to end: a walkthrough that takes a new commercial client from enquiry through survey, quote for access control, CCTV and an alarm with some cabling, install, cable tests, commissioning, handover, invoice and payment, to a monitoring contract with the first annual service booked.
  • Guardrails: nothing is sent to a client, charged, ordered or released without a person approving it.

Questions

What does it cost?

Every business is different, so we start with a free meeting to see what you use and what is worth automating, then quote.

Do we have to change our software?

No. It works around the systems you already use, where they allow it.

Who approves what goes out?

A person approves every message, order or change. Nothing is sent automatically.

Want one built around your business?

We look at what you use today and what is worth automating, then show you what we would build. No obligation.
