Golf club operating system
Tee times, members, pro shop, bar and bistro, functions, course maintenance, staff, purchasing and gaming compliance for a golf club, on one system.
The problem
A golf club is several businesses on one block of land: a course, a members' club with a board and subscriptions, a pro shop, a bar and bistro, a function venue and often a gaming room. Each runs on its own system (point of sale, tee times and membership, handicaps, accounting, rosters) and the general manager pieces the week together from all of them. Members wait on renewals and bookings, functions enquiries go cold, the course team works from a whiteboard, and compliance tasks depend on one person remembering.
What we built
An illustrative operating system for a members' golf club, with views for the general manager, operations, course superintendent, pro shop, food and beverage, functions, membership and accounts.
- Club dashboard: rounds played, member and visitor green fees, bar and bistro sales, functions pipeline, membership numbers and course status, against budget.
- Tee sheet and competitions: today's tee sheet by time and tee, competition fields, visitor bookings and green fees, cart allocation, weather and course closures with drafted member notices for approval. Results and handicaps flow to the national handicap system through the club's tee time and membership software.
- Membership lifecycle: enquiry, trial round, application, board approval, joining fee and subscription invoiced, paid, renewals with reminders, resignations and categories. Member communications drafted for approval.
- Pro shop: sales through point of sale, stock levels, reorder suggestions, lessons booked with the professional, club fittings.
- Bar and bistro: sales and covers from point of sale, member discounts and loyalty points, bookings, menu costing.
- Functions and events: weddings, corporate golf days and club events from website enquiry to proposal, deposit, run sheet and final invoice. Corporate golf days book the tee sheet and the function room together.
- Course maintenance: daily work plan for greenkeepers, mowing and spraying schedules with chemical records, irrigation and weather notes, machinery servicing by hours, and course condition reports for members.
- Staff: rosters across course, pro shop, bar, kitchen and office against expected rounds and covers, leave, timesheets to payroll, responsible service of alcohol and gaming certificates, chemical handling licences, onboarding.
- Purchasing: course supplies (fertiliser, chemicals, sand, parts), bar and kitchen stock, and pro shop stock from suggested orders through approval, purchase order, receipt and bill matching in the accounting system.
- Compliance and governance: liquor and gaming licence conditions, gaming incident register, AML/CTF program tasks for gaming, chemical register, board meeting papers and action items.
- Guardrails: nothing is sent to members, ordered, paid or changed in the handicap system without a person approving it. Gaming systems are never connected: by law there is no third-party access, so only the monthly statements are uploaded by staff.
