Batch and private-label manufacturing operating system
Quotes, batch schedule, raw materials and customer-owned stock, QC release, SDS and DG register, labels, freight and a private-label portal for a small blending plant.
- Orders and quotes: own-brand and private-label orders on one board from enquiry through quote, confirmation, scheduling, production, QC, release, dispatch, invoice and payment. Quotes and confirmations are priced from the trade list or the brand owner's supply agreement and drafted for approval; follow-ups and overdue reminders too.
- Batch schedule: a week view across the mixers and the powder blender, with filling and bagging lines below. Capacity and product-type checks, clash detection, wash-down warnings between dark and light colours, and a materials check that flags a batch as short once earlier batches have taken their share. Moving a batch drafts a customer update.
- Raw materials and customer-owned stock: on hand, committed to scheduled batches, free and reorder point for every raw material and pack. Printed packaging, tint pastes and additives supplied by brand owners are held separately and only used in their batches. Finished goods held for brand owners are called off from their portal.

How it works
The problem
A small manufacturer blends coatings, chemicals and dry powders in batches, sells some under its own brand and makes the rest as private label for other brands. Orders come by phone, email and from brand owners, each with its own price agreement, artwork and sometimes its own packaging or additives held in the warehouse. The batch plan lives on a whiteboard, raw materials run short on the day of weigh-up, batch records and QC results sit on paper, safety data sheet reviews slip, labels are printed from the wrong artwork version, and brand owners ring to ask what stock is held for them and when their order ships.
What we build
An illustrative operating system for a batch blending plant, with views for the owner, sales and customer service, the production planner, blend operators, QC, and warehouse and dispatch.

- Batch records and QC: weigh-up records the lot of every raw material and customer-supplied input. QC enters results against specification; anything out of spec puts the batch on hold until it is adjusted and retested. Release creates a retained sample with a keep-until date and a certificate of analysis.
- SDS and dangerous goods register: supplier, own-product and private-label safety data sheets with five-year review dates, update requests to suppliers and new versions sent to brand owners. Dangerous goods on site by class, updated as stock moves, against the site limits.
- Labels: one label job per batch with the approved artwork version for the brand, batch number, dates and dangerous goods marks. Printing is locked until QC release and artwork approval.
- Dispatch and freight: released orders and call-offs booked through a freight platform with dangerous goods declarations, pick-up and proof of delivery, which triggers a draft invoice.
- Private-label customer portal: each brand owner sees only their orders and status, stock held for them, certificates of analysis, artwork to approve and invoices, and can place a reorder or call off held stock.
- Purchasing: reorder suggestions from stock, reorder points and the schedule, purchase orders to suppliers approved by the owner, receipt with lot and certificate of analysis (shortages recorded), and the supplier bill matched and drafted in accounting.
- Staff: day and afternoon shift roster, leave and swaps, timesheets to payroll, forklift, dangerous goods, respirator and first aid expiries, and a new-operator onboarding checklist.
- Follow it end to end: a guided walkthrough takes one private-label reorder from the portal through confirmation, scheduling, a caught shortage, purchasing, weigh-up, an out-of-spec result and retest, release, labels, freight, invoice and the brand owner's view.
- Guardrails: nothing is sent to customers, brand owners or suppliers, ordered, released or invoiced without the right person approving it, and every decision is logged.

Questions
What does it cost?
Every business is different, so we start with a free meeting to see what you use and what is worth automating, then quote.
Do we have to change our software?
No. It works around the systems you already use, where they allow it.
Who approves what goes out?
A person approves every message, order or change. Nothing is sent automatically.
Want one built around your business?
