Financial diagnostic and advisory document drafting
Reads a client's Xero file, turns it into a financial position diagnostic, cash flow and creditor schedule, and drafts the adviser's documents for review.
- Xero financial pull (read only): with the client's consent, a read only connection to their Xero file. Profit and loss, balance sheet, aged payables and receivables, bank position, tax account balances and payroll liabilities are read in and refreshed. The client's accounting file is never written to.
- Financial position diagnostic: solvency and working capital indicators, a thirteen week cash flow drafted from the Xero data, a creditor schedule with ageing, and a director exposure view (unpaid tax, superannuation and the amounts a director can be personally liable for).
- Safe Harbour readiness checklist: the evidence a director needs on file, scored from the financial data (books and records current, tax lodgements current, employee entitlements paid, an advice backed plan likely to give a better outcome). The adviser and director decide; the system keeps the evidence.
Core system designed for a real business; extra modules are an illustration. The live demo uses invented data. We build yours around the systems you already use.
This is a workflow tool, not legal, financial or insolvency advice.
How it works
The problem
A small business advisory firm helping directors under financial pressure needs the client's real numbers fast and a professional set of documents drafted around them. The numbers live in the client's accounting file; the adviser exports spreadsheets, re-keys the figures, writes the situation analysis, the cash flow and the creditor schedule by hand, then checks every number again. With two principals a single engagement can take hours of drafting before any advice is given, and every document has to carry the firm's professional sign off.
What we build
A system that connects read only to the client's Xero file, turns the financial data into a diagnostic, and drafts the advisory documents for an adviser to review and finalise. Every figure in a draft is either read straight from the accounting file or marked as needing confirmation, so nothing is invented.
- Xero financial pull (read only): with the client's consent, a read only connection to their Xero file. Profit and loss, balance sheet, aged payables and receivables, bank position, tax account balances and payroll liabilities are read in and refreshed. The client's accounting file is never written to.

- Document drafting with a figures guard: situation analysis, cash flow commentary, creditor schedule and the weekly director update are drafted around the real numbers. Figures in the drafts are drawn from the source data, and anything that cannot be traced to it, such as a director-advised amount, is flagged for the adviser to confirm.
- Approvals queue: every draft shows what was prepared, what it was drawn from, and Approve, Edit or Dismiss, with Undo. Nothing leaves the firm without an adviser approving it.
- Enquiry to engagement: website and referral enquiries land on one board, a conflict check runs, and an engagement letter and fee are drafted for approval and signed electronically before work starts.
- Engagement monitoring: plan milestones, weekly cash against forecast, early warnings when actual cash slips from the plan, and a weekly update drafted for the adviser to approve.
- Firm operations: adviser capacity and calendar, time and fees, invoices and payments, and referral partner relationships.
- Guardrails: the client's accounting file is read only, every figure is traced to source or flagged, nothing is sent to a client, creditor or regulator without an adviser approving it, and the system never gives legal or insolvency advice on its own.
- Live demo extras: a plain-language read only Xero permissions screen and read log, nine editable cash flow assumptions, every dollar figure in a draft showing its source report and line, untraceable figures held amber until an adviser confirms them, identity-bound principal sign-off, a staff view (roster, leave, timesheets, CPD), and a read only client director portal.
Roles: principal, adviser, analyst (prepares, cannot approve), client services, accounts, client director (read only).

Questions
What does it cost?
Every business is different, so we start with a free meeting to see what you use and what is worth automating, then quote.
Do we have to change our software?
No. It works around the systems you already use, where they allow it.
Who approves what goes out?
A person approves every message, order or change. Nothing is sent automatically.
Want one built around your business?
We look at what you use today and what is worth automating, then show you what we would build. No obligation.
